Employment Opportunities

Simsbury Meadows Performing Arts Center (“SMPAC”) is a regional performance and event venue located in Simsbury, Connecticut, 12 miles west of Hartford. Metropolitan Hartford’s population is approximately 1.3 million.

The venue features a modern performance stage and open-air seating for up to 10,000 people and is active from mid-April through October. The venue is the summer home of the Hartford Symphony Orchestra. In addition to performing arts, the venue hosts festivals and other community events from spring through fall.

Available Positions:

Facility Management Assistant

  • Position Title:  Facility Management Assistant
  • Status: Part-time – Hourly
  • Location: Simsbury, Connecticut
  • Duration: Seasonal (April – October)
  • Working Hours: Weekends, evenings, and some weekdays (must be available to work on-site for all scheduled events at the venue)

Position Overview

Reporting to the Executive Director, the Facility Management Assistant will be responsible for oversite of general venue site prep, open and closure as well as all event specific facility services.  Working in conjunction with SMPAC staff, volunteers, rental clients and patrons, he/she will be expected to provide top notch service at all times.

General Responsibilities

  • Prepare site for season start to include fencing and gate placement and pre-season preventative maintenance.
  • Manage and maintain all venue equipment and rentals (golf carts, Cushman, Bobcat, chairs, signage, fencing, etc.)
  • Prepare and maintain inventory of all venue and rental equipment and supplies and alert Executive Director of any maintenance/repair or replacement needs in a timely manner.
  • Collaborate with Town Parks Superintendent to prepare parking areas and scheduling lining, and to ensure clear marking of sprinkler heads and areas for event services rental equipment placement on grounds.
  • Create and maintain site diagrams for all standard event services rental equipment (i.e. trailers, portable restrooms, trash/recycle receptacles, tents) and distribute to staff, rental clients and vendors as necessary.
  • Coordinate with rental equipment vendors and be present on-site for all delivery, installation and pick-up of equipment to ensure accuracy.
  • Install event signage according to venue’s promotional schedule.
  • Prepare site for seasonal closing to include material and equipment storage, site fencing and gate removal.

Event Specific Responsibilities

  • Prepare site for event to include event signage placement, playground/dog park closing notifications and traffic cones.
  • Mark field for event specific equipment placement (tables, chairs, vendor tents, etc.) and oversee and assist with setup as necessary.
  • Oversee concessions vendor load-in and load-out with attention to efficiency, field maintenance, and public safety.
  • Assist rental clients as needed.
  • Once site is open to public, monitor site services to include portable restrooms and sinks to ensure adequate cleanliness and supply of paper products/amenities.
  • Control field lighting for all evening events.
  • Oversee post-event site cleanup.
  • Collect all lost and found items and secure in office.
  • Oversee collection of all SMPAC equipment and return to designated storage areas for safekeeping.
  • Make note of any maintenance issues that require further attention and provide to Executive Director.
  • Conduct full facility walk-thru to ensure appropriate shut down and lock-up procedures have been executed (trailers, sound towers, power, lighting, storage, barn, office).

Qualifications

  • 1+ years of related experience and/or training required.Experience in general maintenance and repair a plus.
  • Ability to prioritize tasks, manage tight time deadlines and work in fast paced environment.
  • Cooperative, positive, patient, flexible and willing to work with others.
  • Ability to work independently, as well as part of a team, under direct or indirect supervision.
  • Valid CT driver’s license and clean driving record required. Must have reliable transportation.
  • Working knowledge of computers to include Microsoft office applications.
  • Interest in arts and entertainment a plus.
  • CPR/First Aid/AED/BBP Certification, or any combination of these, a plus.

Working Conditions and Physical Tasks

Job functions performed primarily outdoors w/ some indoor work. The employee must frequently lift and/or move up to 50 pounds. Some local travel necessary; valid driver’s license and access to own vehicle required.  Employee will be required to operate/drive a Bobcat, Cushman and golf cart.

Operations Assistant

Reporting to the Executive Director, the Operations Assistant will be responsible for general office administrative tasks and internal/external customer communication.  Working in conjunction with SMPAC staff, volunteers, rental clients and patrons, he/she will be expected to provide top notch service at all times.

General Responsibilities

  • Provide reception support services. Receive calls, email and in person inquiries, providing timely response to all.
  • Oversee volunteer scheduling and database management. Provide on-site volunteer management support for each event.
  • Oversee sponsor/advertiser services to include benefit execution, visibility, signage scheduling/placement, and execution of other applicable benefits.
  • Work with Facility Management Assistants to document equipment schedules and ensure timely, detailed communication for accurate delivery, setup and removal of materials.
  • Serve as liaison between Executive Director and rental clients on the day of each event to ensure that client and venue needs are fulfilled.
  • Confirm setup needs in advance with all concessions/merchandise vendors.Liaise with Farmington Valley Health Department to confirm inspection times and share with confirmed food vendors. Meet with vendors upon arrival and serve as point of contact throughout event.
  • Complete regular mail pickup and drop-off.
  • Prepare all necessary documentation and complete bank deposits.
  • Receive and document lost and found items.

Qualifications

  • 1+ years of related experience and/or training required.Experience in event and/or volunteer management a plus.
  • Excellent written and verbal communication skills.
  • Proficient in all Microsoft Office applications, internet, and social media platforms.
  • Ability to prioritize tasks, manage tight deadlines and work in fast paced environment.

Position Overview

The Operations and Social Media intern will gain on the job experience working alongside the Executive Director.  In addition to providing operational support in the areas of administration, volunteer management, facility services, and customer service, this individual will be charged with managing the organization’s social media accounts to include content planning, execution, and analytics.

This is an UNPAID internship – for college credit.

Responsibilities

  • Update and distribute event calendar
  • Gather necessary information to complete and distribute event outlines
  • Assist with inputting volunteer contact information and schedules into database
  • Manage venue social media pages to include Facebook, Twitter, and Instagram
  • Create weekly social media content plans
  • Assess analytics in an effort to identify best practices for social media campaign execution
  • Assist operations team as needed on performance days

Qualifications

  • Excellent oral and written communication skills;
  • Internet savvy, well versed in social media platforms, full knowledge of Microsoft Office (Word, Excel, Power Point), experience with graphic design software a plus
  • Punctual, proactive, detail-oriented self-starter;
  • Strong interpersonal and relationship building skills;
  • Ability to wear multiple hats, adapt to change, multi-task, and think creatively;
  • Reliable transportation
  • Enrolled full time in an accredited college or university
